Creating New Staff Keys - Schlage
This page and all others on the help site will be retired in Q4 2024. Please refer to the new help site by clicking the Help icon in the top-right corner of the STRATIS Management application.
Staff keys must be made with new, personalized emails for each new Staff member. You can’t use older legacy email addresses associated with prior employees or groups within your property. This might mean that before you can make a new employee’s staff key, you’ll need to set up their personal email.
Select People.
Select View Staff Keys from the staff toolbar.
Select +New Key. Choose your staff member from the drop down list, and select Next.
Choose the areas you’d like your staff key to access in the left menu, and select Next. When making this choice, remember to think about your 11 slot limit and setup.
Under Credential Name, name the key something easily identifiable and unique, as no two staff keys can have the same name. We recommend including the name of the owner and a basic description of what access will be granted. Use personal email addresses rather than group email addresses. For example, johnsmith@stratis.com would be fine, whereas maintenence@stratis.com would not.
Your smart key will automatically be assigned an end date one year into the future from the date of creation. You can change this date if you wish. We recommend keeping the expiration date at one year. When you reach that one year date, the key will expire. At that date, it’s best practice to audit the key to make sure that the access granted is what your Staff person needs to do their job and nothing more. Then, make a new key with this level of access, and a one year expiration date. You can’t edit a key’s expiration date right before it expires to extend the life of that smart key. If that key’s relevant locks are ever re-programmed, they’ll revert to the original expiration date for that Staff key and block access.
Under the Schedules section, choose either 24/7 to allow access at any time, or Schedule to choose a schedule specifically for that smart key. Note that 24/7 access will grant any time access to the key’s holder, regardless of the schedule on a lock itself. If you do want to assign a schedule to a Staff key, you’ll need to do it at this stage - there is no way to add a schedule to a Staff key after it is made.
Select Next. A confirmation window will appear to allow you to review the details of your smart key before inputting your password and encoding your smart key.
If all details are correct, input your password and select Confirm. Place the blank smart key on the MT20W. If encoding is successful, you’ll see a message appear.
