Moving Out a Resident From a Unit
For PMS-integrated properties, any Resident who has been synced over from your PMS will be listed in the People menu with the beginning two letters of your PMS system - for example, RP for RealPage, or YA for Yardi. Non-synced, manually created Residents will have an X next to their listed name. This means that they can be moved out manually, via the People menu. These non-synced Residents will also have a move out option listed for their profile in the Places menu. If you attempt to move a synced PMS-integrated Resident out via the Management App, an error message will appear at the top of the screen.
There may be scenarios where you wish to simply pass the smart key of a departing Resident off to a new Resident as they move in. STRATIS strongly discourages this action, as it creates a less secure line of accountability for smart keys. Even if your move out involves new roommates moving into an existing unit, it’s best practice for your property’s security to move out departing Residents and return their smart keys, then write new smart keys for new Residents. Remember, you can reuse the physical smart keys for new Residents, but must rewrite those keys for the new Residents.
When a Resident on a PMS-integrated property is automatically moved out and leaves the property without ever returning their smart keys, there is no way to declare that Resident’s smart key as lost. This is different from non-PMS-integrated properties, where the smart keys can be declared lost. Additionally, the Management App won’t remind you when this happens. Make it a part of your property’s workflow to check for returned keys when a Resident departs, especially if you’re a PMS-integrated property.
To move out a Resident who is not synced with your PMS:
Select Places.
Select the Resident’s building and unit, followed by their name.
Usually, there will only be one smart key associated with a Resident. Some specific cases such as duplicate smart keys and garage tags will mean that a Resident has more than one smart key to address during move-out. These smart keys will show up under the Resident’s profile under Credentials and will be listed as Manually Input. Clicking on these will open up a new panel where you’ll need to confirm that you want to remove the smart key.
After removing the manually input credentials, select Move Out.
You’ll be asked to choose whether or not you have the departing Resident’s smart key.
If you have the key, select Move Out With Key.
Select your MT20W.
Place the smart key on the MT20W and follow the prompts on your screen.
3. Three quick beeps will indicate a successful return.
* To FINALIZE THE RETURN OF THE SMART KEY, IT MUST BE PRESENTED TO THE UNIT LOCK TO REMOVE ACCESS. Once completed, the smart key is ready to be reprogrammed and reused for another Resident or Staff member. *
If you don’t have the key, select Move-Out Without Key.
Reprogram all affected locks:
In the STRATIS Management App, you must select Move out without key before moving on to the following steps.
In your tablet, select Door Operations, then Download Door Files.
If you currently have door files downloaded from a previous installation, Remove Downloaded Files first before downloading these new door files. If you don’t, you run the risk of programming locks with old door files.
Download the door files for the Resident’s door and all applicable common areas and amenities.
Program the doors to block the lost smart key from its associated locks.
To move out a Resident who is synced with your PMS:
In your PMS, move out your Resident.
In STRATIS, select People.
Select the Return Key For Moved Out Resident button.
Select your MT20W.
Place the smart key on the MT20W and follow the prompts on your screen.
6. Three quick beeps will indicate a successful return.
