Transfer an Existing Resident to a New Unit - Schlage

In this scenario, a Resident is moving out of one unit on your property and into another unit. Transferring Residents in STRATIS allows them to be associated with their new unit while still using their same STRATIS mobile account. We call the process of moving a Resident from their old unit to a new unit unit transfer.

However, we understand that the physical moving process from one unit to another sometimes requires that the Resident be able to access both units at the same time, for the transport of belongings. Allowing them to do this is called unit overlap. If the Resident still needs access to their old unit, before you transfer the Resident create a temporary key for the new unit using the maintenance portal. Alternatively, if your property does not have maintenance functions, you can add a Resident to the new unit without their email, then add their email after they’ve successfully moved all belongings out of their old unit.

Once they are fully moved into their new unit you can continue below.

For PMS-Integrated Properties

Your PMS sync will honor the active Resident-in-unit until they are longer active, and then it’ll move the Resident into their new unit. Only make this switch after you’ve confirmed that the Resident has moved all of their belongings and no longer needs access to their old unit.

Step 1: Move the Resident Out of Their Old Unit

If the Resident is not synced with your PMS:

  1. Select Places.

  2. Select the Resident’s building and unit, followed by their name.

  3. In the right side menu that appears, select Move Out.

  4. You’ll be asked to choose whether or not you have the departing Resident’s smart key.

     

    If you don’t have the key, select Move Out Without Key.

    • For PMS-integrated properties, call STRATIS support.

    • For non-PMS-integrated properties, reprogram all affected locks:

      1. In the STRATIS Management App, you must select Move out without key before moving on to the following steps.

      2. In your STRATIS tablet, select Door Operations, then Download Door Files.

        1. If you currently have door files downloaded from previous installation, Remove Downloaded Files first before downloading these new door files. If you don’t, you run the risk of programming locks with old door files.

      3. Download the door files for the Resident’s door and all applicable common areas and amenities.

      4. Program the doors to block the lost smart key from its associated locks.

  5. Usually, there will only be one smart key associated with a Resident. Some specific cases such as duplicate smart keys and garage tags will mean that a Resident has more than one smart key to address during move out. These smart keys will show up under the Resident’s profile in the right side menu and will be listed as manually input. Clicking on these will open up a new panel where you’ll need to confirm that you want to remove the smart key.

Step 2: Move the Resident In to Their New Unit

For Properties Not Integrated With a PMS:

  1. Select Places, followed by the correct unit, group, or building. 

  2. Select the floor, and the desired unit. 

  3. Select Move In and enter the Resident’s first and last name.

  4. Choose if you wish to send mobile activation emails to your Resident.

    1. If you’re sending an activation email, select the checkbox Send Mobile Activation.

      1. If your property has amenities, select +Add Amenities, then +Add Resident.

      2. If your property doesn’t have amenities, select +Add Resident.

    2. If you’re choosing not to send activation emails, and your property doesn’t have Amenities, select +Add Resident. If you’re choosing not to send activation emails and you do have Amenities to add to this Resident, select +Add Amenities, then +Add Resident.

  5. Select the Resident’s name to open their profile window.

  6. Select Make Key.

  7. Confirm that the information is correct.

  8. Select your MT20W.

  9. Place the smart key on MT20W and select Make Key.

  10.  Wait several seconds and a pop up will let you know when the smart key has been successfully created.

  11. The Resident should now be able to reactivate their mobile account.
