Introduction

SPED is Schlage’s older electronic lock system which uses Prox technology. Prox is relatively insecure compared to newer technologies like MIFARE, and is being phased out by many companies as their preferred method. In December 2019 Allegion/Schlage discontinued support and manufacturing for this lock system. Despite this, STRATIS still supports some legacy SPED properties. We strongly recommend that any SPED property make plans to replace their SPED locks with newer smart locks, as a part of their future property management strategy.

You’ll see a separate Schlage guide on our help site. This is intended for properties that have Schlage’s newer non-SPED locks.

Glossary

Terminology

Before we get started, let’s review a few basic STRATIS terms.

  • Staff are the administrators and employees of the building. For each Staff member who’ll need access, you must create a Staff user profile.

  • Property Administrators are Staff who have been granted permissions to add and update staff users, user permissions, and site wide settings. 

  • Residents are the people who live in the building. They’re managed by Staff and Property Administrators.

  • A Staff user is the Staff member’s profile used to designate and manage their individual access in the Management App. Some Staff users will have Property Administrator designation, which is a granted permission allowing them to create, delete, and edit Staff users.

  • A Unit is one singular designated apartment or Residential suite. When that unit has one or more Residents living it it, this is called an occupied unit. When there are no Residents living in the unit, this is referred to as a Vacant Unit. Vacant Units refers to all units in a building or property at one time which are empty of occupying Residents.

  • Common areas are areas of the building that all Residents have access to merely by living in the building.

  • An amenity is an area or service which has restrictions to its access, dependent on hour or particular Resident. Examples include locked bike rooms, assigned storage spaces, etc. Some buildings may not have any amenities.

  • A door file is used within the lock programming process to convey to the lock all the information a lock needs for it to work within the STRATIS system. Every door file contains the lock’s unique lock ID in STRATIS, what schedules are on the property, what groups can access it, and the local time and time zone. It may also contain a list of credentials that have already been granted or blocked from access on that particular lock.

  • The Management App is the STRATIS web or desktop client used by property staff and administrators to manage access for a property.

  • Smart Keys are the physical tokens or fobs that you program to allow specific users to access specific areas.

  • Staff keys are the permanent keys used day-to-day by property Staff.

  • Maintenance keys are temporary smart keys designed for use by maintenance and third-party vendors.

  • A Master Key is a smart key that allows a user to access all access points and locks on a property.

  • Touring is the act of being physically present in front of door locks to do setup and maintenance.

  • Schedules are the way we relate temporary access restrictions and changes to the standard Gregorian calendar. There are five different types of schedules for Schlage locks in the Management App.

    • Credential schedules are set for common areas and amenities, and restrict the hours that a Resident’s smart key will work on that door’s lock. For example, a credential schedule could be set to allow Residents' use of the property’s pool from 8am to 8pm, but block access for all other hours.

      • Staff schedules are credential schedules applied to staff keys. They allow for staff keys to block access during certain hours. For example, the cleaning staff’s keys might work during their shift, but would stop opening doors at 6pm. 

    • Auto unlock schedules are used to set hours where a door is automatically unlocked. Setting hours when the front door is unlocked and when a smart or mobile key will be required for night entry is a good example of this.

    • Holiday schedules are set to handle changes in access for calendar holidays and the days surrounding them. 

    • Bulk key schedules are used by SPED properties to pre-program smart keys and limit the number of times SPED locks will need to be toured to update access.

SPED Hardware

Tablets and other hardware can be purchased through the STRATIS Web store.

STRATIS Lenovo Tablet

 

SPED sites rely heavily on the STRATIS Lenovo tablet to run their property. The tablet is used to program smart keys, program doors, and complete other basic tasks. Depending on your property, you might use either of the following tablet models:

  • Lenovo Tab4 8in (TB-8504P) - During COVID this became hard to source

  • Lenovo Tablet (TB-8505)

iButton smart key Programming Cable

 

This cable connects to the tablet through a mini USB cable and allows properties to program SPED smart keys. 

2-Prong Programming Cable

 

This cable connects to the tablet through a mini USB cable and allows properties to program BE367/FE210 Resident locks.

 

CO/CT Programming Cable

 

This cable connects to the tablet through a mini USB cable and allows properties to program CO200 and CT5000 common/amenity area locks.

Mini USB Adapter

 

This cable is used to connect all other cables to the tablet.

Schlage Handheld Device (HHD)

 

This is what Schlage properties use to program their locks when they aren’t using STRATIS.

SPED Smart Keys

SPED properties typically use four different types of SPED smart keys, while our oldest SPED properties will sometimes use five types of smart keys.

Smart Key Types

  • Red programming smart key (48-515)

  • Blue Staff/Resident smart key (IBF-120)

  • Orange maintenance smart key (IBF-130)

  • Yellow construction smart key (48-517)

  • Grey Staff/Resident smart key (IBF-110)

Red Programming Smart Key

 

The red programming smart key is one of the most important smart keys on the property. For a SPED property to create smart keys and program BE367/FE210 Resident doors, the red programming smart key must be added into that property’s Credential Report. Each time you program a Resident door, you’ll need to present the red smart key to the door to put it into programming mode. If your property loses or breaks a red programming smart key, you’ll need to replace it and then add the new smart key serial number into STRATIS before finally completing a factory reset (FDR) and reprogramming all of locks using the new red smart key.

Blue Staff and Resident Smart Key

 

Blue IBF-120 smart keys are the primary smart keys seen in use on our SPED properties. They are used as both Staff and Resident smart keys and are interchangeable between the two. 

Each blue smart key is identified using its facility code (FC) and hot stamp/badge number. For example, a blue smart key will appear in STRATIS as 207:12345. 207 is the facility code and 12345 is the hot stamp number. For Resident locks these numbers don’t necessarily matter for anything other than auditing purposes. However, they’re crucially important for common/amenity areas. If the facility code or hot stamp number is incorrectly entered into STRATIS, the smart key won’t work on those doors. Typically, when a property is reporting that some Residents or Staff can’t access common or amenity areas, it's because the key FC and hot stamp are wrong.

The hot stamp number is stamped onto the smart key along the underside. This number often rubbs off over time, rendering it impossible to visually read the numerals. The key can be technically read in STRATIS to get credential info, however if it's not an active key it won’t show information. Even if the key does show information, that will include only what the person making the key typed in at the time of key creation.

Often people will assume that a smart key has an FC of 120 because 120 is stamped onto the smart key. Note that the 120 simply refers to the model number, IBF-120. The FC can only be found on the box or plastic packaging in which the smart keys were shipped to you. If your property has thrown this out, the only ways to determine the FC is to ask the company that sold you the smart keys to share that information. If that company doesn’t know, you’ll need to send your smart keys to Allegion for reading.  While this information could be located in STRATIS reports, your property types the FC in manually, and there is potential for the report to be untrue. We highly recommend that properties stick to one FC on their site to prepare for the scenario where you lose track of the FC.

 

Orange Maintenance Smart Key

 

These orange IBF-130s act as Maintenance/Vendor/temporary smart keys on SPED properties. These smart keys do not have an FC and therefore can’t work on common/amenity area doors such as the CO200 and CT5000. Properties can program these smart keys within our maintenance ticket system, to allow access for up to 30 days and within set time limits. 

  • For example, if a maintenance team is conducting preventative maintenance between the first and the fifth of the month and they only need access between 9AM and 4PM, then you can create a maintenance ticket and smart key with those parameters. 

  • Temporary smart keys using these orange smart keys only last for one hour. 

Yellow Construction Smart Key

 

These yellow 48-517 construction smart keys are used to control access to units during the construction phase of a property. When the lock is in Factory Default mode it can be paired with construction smart keys so that locks can be locked when necessary. 

Grey Smart Key

 

These grey IBF-110s are Schlage’s older version of the blue smart key. Some of our properties still have these smart keys because they were imported into STRATIS when the site was created, but no property that had grey smart keys at the time of their STRATIS onboarding would have ever been able to make new grey smart keys. They will stop working by virtue of their age, and can’t be reprogrammed.

  • Nonworking grey smart keys must be replaced by a blue smart key, which can be made in STRATIS. 

  • If a Resident who owns a grey smart key moves out, the smart key can’t be reprogrammed, and a blue smart key will need to replace it.

  • If a Staff member leaves the property and they had a grey smart key, that smart key will not be able to be reprogrammed and will need to be replaced by a blue smart key.

Schlage SPED Lock Types

SPED properties generally have a combination of any of the three below lock models.

  • BE367/FE210 Resident Lock

  • CO200 Common/Amenity Area Lock

  • CT5000 Common/Amenity Area Lock

BE367 (iButton) and FE210 Resident Lock

The BE367 and FE210 are essentially the same lock when it comes to STRATIS purposes. The only difference is that the BE367 is a simple deadbolt while the FE210 is a deadbolt interconnect, meaning that actioning the door handle will also action the deadbolt.

CO200 Common Area and Amenity Locks

 

The Schlage CO200 is a standalone offline electronic lock primarily used by properties for their common/amenity area doors. These locks are notoriously finicky, and we always encourage properties to upgrade from this style of lock as soon as possible. Each time a Resident or Staff key is created, and that key has access to a CO200, the lock will need to be programmed with updated door files for the key to work. Additionally, the FC and hot stamp must be correctly programmed to the key and door file.

The CO200 uses 2 battery types, 4 AA Batteries and a coin cell battery. Either may need to be replaced if not functioning correctly

CT5000

 

The Schlage CT5000 is an offline single-opening controller designed for use with common/amenity area doors and building entrances. Each time a Resident or Staff key is created and that key has access to a CT5000, the lock will need to be programmed with updated door files for the key to work. Additionally, the FC and hot stamp need to be correctly programmed to the key and door file.

Management App Layout

The home screen of the STRATIS Management App has three tiles in the center. These particular menus can also be accessed via the left-hand menu bar, which additionally contains the Maintenance, Reports, Property Setup, My Account, and 44 menus.

People

  • Add, edit and remove Staff users, smart keys, and permissions.

  • Review Residents.

Places

  • Move Residents in/out and program smart keys.

Devices

  • Program locks (via tablet).

  • Access your property-wide device controls (if applicable).

Maintenance

  • Create and track maintenance tickets.

  • Create and track vendor smart keys.

Reports

  • Sort and search the data by different criteria and download these reports to CSV files to print out and/or store locally.

  • STRATIS stores these reports on our servers. It's not necessary to store these reports locally.

Property Setup

  • View and edit your property layout.

  • Create and edit door and smart key schedules.

  • Manage property settings.

Resident Actions

All of the steps and actions outlined below are taken to manage Residents. Actions taken to manage Staff, Visitors or Maintenance workers will be outlined in separate sections.

Read Keys for Information

If you are in possession of a key, and you don’t know anything about it, you can scan it quickly to get the details.

1. Navigate to the People screen.

2. Click Read Key for Info.

 

3. On the pane appearing on the right-hand side, select your reader and click Next.

4. Place the key on your reader and click Read Key.

5. When the key is successfully read, the details will display in the pane.

View Resident Information

This menu is useful to gain a quick overview of Resident information. Note that Resident management (e.g. move-in, move-out, creating smart keys, etc.) must be done through the Places tile.

Click the arrow to the right of the word Residents to view the list of Residents.  A searchable list of Residents with unit numbers will appear. Here, you can select the name of the Resident to view detailed Resident information.

Moving In a Resident

  1. Select Places, followed by the correct unit, group, or building. 

  2. Select the floor, and the desired unit. 

  3. Select Move In and enter the Resident’s first and last name.

  4. Enter the Resident’s email.

  5. If your property has amenities, select the Amenity Locks pencil icon, select each desired amenity, and Save. Note that each amenity will need to be reprogrammed each time you add a Resident’s access.

  6. Select + Add Resident.

  7. Select the Resident’s name to open their profile window.

  8. Select Make Key.

  9. In the new pop up that appears, enter the hot stamp and facility code before selecting Next.

  10. Confirm that the access information shown is what you want to grant to this Resident and select Next.

  11. If successful, a confirmation message will appear. If unsuccessful, an error message will appear.

Replacing a Lost Smart Key For Residents

If your Resident has lost their smart key, you’ll need to reprogram their unit’s lock and all related common area and amenity locks with new door files, to block that lost smart key’s access. Then, select that Resident’s profile in STRATIS and make a new smart key.

Editing Amenities for Existing Residents

If a Resident should be granted or removed from access to an amenity after they’ve already been moved in and granted a smart key, you have the option to edit their amenity access.

To do so, add the amenity to the Resident’s unit. You will need to reprogram the amenity lock to update this access change. If you want to remove a Resident’s amenity access, remove the amenity from their unit and reprogram the amenity lock with new door files.

Updating Resident Emails or Information

  1. Select the People menu.

  2. Select your desired Resident to open the right side menu.

  3. Edit the email or name field for your Resident.

  4. Save.

Moving Out a Resident From a Unit

There may be scenarios where you wish to simply pass the smart key of a departing Resident off to a new Resident as they move in. STRATIS strongly discourages this action, as it creates a less secure line of accountability for smart keys. Even if your move out involves new roommates moving into an existing unit, it’s best practice for your property’s security to move out departing Residents and return their smart keys, then write new smart keys for new Residents.

  1. Select Places.

  2. Select the Resident’s building and unit, followed by their name.

  3. In the right side menu that appears, select Move Out.

  4. In the new aside that appears, select Move out with key if your Resident is returning their smart key to you.

    1. Insert the key into the reader.

    2. Select Read.

    3. A conformation message will appear with a successful key return.

  5. If your Resident moves out but doesn’t return their smart key, you’ll need to move out without a key:

    1. In your tablet, go to Door Operations on the Home menu, and select Download Door Files.

    2. Download the door files for your Resident’s door and all applicable common areas and amenities.

    3. Program the doors to remove the lost key from its associated locks. This is the only way to block that lost smart key’s access to your property.

Transfer an Existing Resident to a New Unit

In this scenario, a Resident is moving out of one unit on your property and into another unit. Transferring Residents in STRATIS allows them to be associated with their new unit while still using their same STRATIS mobile account.

If the Resident still needs access to their old unit, before you transfer the Resident create a temporary key for the new unit using the maintenance portal. Alternatively, if your property does not have maintenance functions, you can add a Resident to the new unit without their email, then add their email after they’ve successfully moved all belongings out of their old unit. Once they are fully moved into their new unit you can continue below.

Step 1: Move the Resident Out of Their Old Unit

  1. Follow the steps listed above for Move Out a Resident From a Unit.

Step 2: Move the Resident In to Their New Unit

  1. Select Places, followed by the correct unit, group, or building. 

  2. Select the floor, and the desired unit. 

  3. Select Move In and enter the Resident’s first and last name.

  4. If your property has amenities, select the Amenity Locks pencil icon, select each desired amenity, and Save. Note that each amenity will need to be reprogrammed each time you add a Resident’s access.

  5. Select + Add Resident.

  6. Select the Resident’s name to open their profile window.

  7. Select Make Key.

  8. In the new pop up that appears, enter the hot stamp and facility code before selecting Next.

  9. Confirm that the access information shown is what you want to grant to this Resident and select Next.

  10. If successful, a confirmation message will appear. If unsuccessful, an error message will appear.

Staff Actions

Creating A New Staff User

A Staff user is the Staff member’s profile used to designate and manage their individual access the Management App. Some Staff users will have Property Administrator designation, which is a granted permission allowing them to create, delete, and edit Staff users. Property Administrators can create smart keys for individual Staff members, after first creating that individual’s Staff user.

  1. Select People.

  2. Select the + sign on the right side of the Staff menu.

  3. In the new pop-up window, fill in the first name, last name, and email address of your Staff member. You can add the phone number if you wish. When done, select Add Permissions.

  4. In the next screen, choose the permissions you’d like to grant to this Staff user. Checking off the box to the left of each option will automatically check off all nested options beneath. Selecting the arrow to the right of each option will expand all nested options for individual choosing. When finished, select + Add.

  5. Once the Staff user is created, you can then grant that Staff user their smart key.

Read Keys for Information

If you are in possession of a key, and you don’t know anything about it, you can scan it quickly to get the details.

1. Navigate to the People screen.

2. Click Read Key for Info.

 

3. On the pane appearing on the right-hand side, select your reader and click Next.

4. Place the key on your reader and click Read Key.

5. When the key is successfully read, the details will display in the pane.

Creating New Staff Keys

Staff keys must be made with new, personalized emails for each new Staff member. You can’t use older legacy email addresses associated with prior employees or groups within your property. This might mean that before you can make a new employee’s Staff key, you’ll need to set up their personal email.

  1. Select People.

  2. Select View Staff Keys from the staff toolbar.

  3. Select +New Key. Choose your Staff member from the drop down list, and select Next. You may be prompted to re-enter your STRATIS password to begin this action.

  4. Under Credential Name, name the key something easily identifiable and unique, as no two staff keys can have the same name. We recommend including the name of the owner and a basic description of what access will be granted.

  5. Your smart key doesn’t have an expiration date. It can be reused after it’s returned for the next needed Staff smart key.

Returning Staff Keys

  1. Select People.

  2. Select View Staff Keys.

  3. Select the Staff smart key you wish to return.

  4. Select Return Key.

  5. The Management App will warn you that returned Staff keys can’t be reused and ask you to confirm is you’d like to Cancel, Continue Without Credential, or Continue With Credential.

  6. If you have the Staff smart key that is being returned:

    1. Select Continue With Credential.

    2. Select your reader from the reader list.

    3. Place your Staff smart key on your reader, then select Next.

    4. A confirmation message will appear as the key is returned and confirmed.

  7. If you don’t have the Staff smart key that is being returned:

    1. Select Continue Without Credential.

    2. Select Return Credential.

    3. Once the smart key has been deleted, tour all locks to which that smart key had access with the Lenovo tablet. Locks must be reprogrammed to remove access. Before programming, make sure that you’ve deleted old door files and have the most up to date door files downloaded.

Replacing a Lost Key For Staff or Maintenance

Deleting A Staff User

Sometimes you’ll need to remove Staff users from your STRATIS Management App to ensure that they no longer have access to your property, such as when an employee quits or is terminated. There’s no way to bulk-delete Staff users. This must be done one at a time.

  1. Select People.

  2. Select Staff.

  3. In the drop down Staff list, select the Staff user to be removed. Then, in the new menu that appears, select Remove.

  4. Confirm that you would like to remove this Staff member by selecting Remove again.

  5. That Staff user will now disappear from your Staff list.

When removing a Staff member’s user account you’ll also need to return that smart key. If they didn’t return their smart key before departing, you’ll need to return that smart key without credential, then tour all of the doors the smart key had access to in order to block that individual’s access to your property.

Making Master Keys

Staff users who have been granted property administrator permissions are automatically granted permission to make master keys, as long as the setting to make master keys is turned on in your property settings. Note that master keys can function as your property’s emergency and fire keys.

To turn on your property’s master key setting:

  1. Select Property Setup.

  2. Select Settings.

  3. Check off the option Allow creation of master keys.

  4. Save.

To create a master key, simple make a staff smart key with all units on a property assigned to that smart key. If your property hasn’t turned on the master key setting, an error message will display letting you know this when you try to select and assign all units to a smart key.

For a Staff member to be granted the right to make master keys with their Staff user, you’ll additionally need to grant them this privilege.

To turn on a Staff member’s privilege to write master keys:

  1. Select Staff.

  2. Select your relevant Staff User.

  3. Select Add Permissions.

  4. In the Property drop down list, check off the box that says Create/Edit/Delete Site Master Keys.

  5. Save.

Making Maintenance Keys

Maintenance keys are temporary smart or mobile keys you can create and set to expire at a specific date and time. Commonly, they’re used for temporary vendor access.

To make a Maintenance smart key:

  1. Select Maintenance from the left side menu.

  2. Select + Add Ticket.

  3. Enter the email address of the person requesting the Maintenance key, the status of the ticket, and the type of ticket, then select Create Ticket. A new menu will appear. 

  4. ln the new menu that appears, choose your desired Unit Groups and Units. Note that Maintenance keys have a 20 unit limit. If you attempt to add more than 20 units to the Maintenance key, you’ll see an error message letting you know that you over-selected units.

  5. Select Create Ticket and Choose Times.

  6. Choose the Start Date, End Date, Start Time and End Time before selecting Make Credential.

  7. Place the key in your programmer and select Write Key. If successful, a confirmation message will appear.



Returning Maintenance Keys With the Return Found Key Tool

The return lost key tool works for all keys, be they Resident, Staff or Maintenance. Returning a Maintenance key this way will make it immediately stop working on the lock, even if it has previously been used on that lock.

  1. Select Devices.

  2. Under Keys, select Return Found Key.

  3. Insert the smart key to be returned into your reader.

  4. Select Read.

  5. A confirmation message will appear if this was a successful return. The key can now be rewritten for use by another Resident or Staff member.

Devices Menu

Access the Devices menu from either the left side menu icon or the Devices shortcut. Selecting Devices will take you to the Access Management screen.

Return Found Key

This is used to return a smart key that can’t be identified and doesn’t belong to a current Resident, such as a smart key that’s found on your property and needs to be cleared from the system for security reasons.

Factory Reset Key

This will reset any SPED smart key placed onto your reader. Note that if factory resetting a blue smart key, it will still open doors which have been programmed to accept it.

Staff Keys

This is another way to see a list of all Staff keys.

Bulk Keys

This feature is only used by properties with SPED or Control locks. This will only appear in this menu if you’re accessing the STRATIS Management App from your Lenovo tablet. If using the Management App from your desktop, this option will not appear.
Bulk uploading of smart keys in STRATIS is a quick and easy way for properties to add a new batch of smart keys to their common area door files in one batch. This eliminates the need to program those locks every time you add one of those keys included in the upload. Please note that not all properties are able to use this feature. If you don’t see the Bulk Key option under the devices menu, your property is running an older database and will not be able to use this feature.

Steps to Bulk Upload Smart Keys

  1. To use the bulk upload feature, you’ll need the following information from the smart key packaging:

    1. Bit format, desc (This should always be 26A)

    2. Facility code

    3. Start hot stamp number (badge number)

    4. Stop hot stamp number (badge number)

  2. Navigate to Devices and select Bulk Keys.

  3. Select New Range.

  4. Keep the format as 26A.

  5. Input the facility code.

  6. Input the start hot stamp number, which would be the lowest badge number in the batch.

  7. Input the stop hot stamp number, which would be the highest badge number in the batch.

  8. Select Next.

  9. Select the individual units you would like this set of smart keys to have access to by using the blue triangle to expand the selection, and the blue plus button to choose the unit.

  10. Select Next.

  11. Select the schedule you would like to apply to this set of smart keys. The default is 24/7.

  12. Select Next.

  13. Verify that all the information is correct and select Confirm.

  14. Now that the smart key set has been bulk uploaded, you’ll need to program the affected locks with updated door files in order for the smart keys to work. Make sure to clear any previously downloaded door files and download fresh ones prior to programming the locks.

  15. When Residents move in you can write the smart keys as normal and they will work on their Resident door as well as the common area units that were added during the bulk upload.

Maintenance Menu

To use the maintenance ticket tab, you must have a default maintenance email entered and saved in your Property Settings. Your maintenance email will receive an email each time a maintenance ticket is created.

Turning Resident Maintenance Request Function On or Off

  1. Select Property Setup.

  2. Select Settings.

  3. Check or uncheck Resident Maintenance Requests.

  4. Save.

Create a Maintenance Ticket or Maintenance Key

  1. In the Maintenance menu accessible from the left side menu bar, select + Add Ticket at the bottom right of your screen.

  2. Enter the name of your ticket Requestor, Status, and Ticket Type.

  3. Select Create Ticket.

  4. From the new list that appears, Select Unit Groups that you want your ticket to be associated with.

  5. Select Pick Units.

  6. From the new list that appears, Select Units.

  7. Select Create Ticket & Choose Times.

  8. If you want to make a Maintenance key in addition to the ticket, set your desired Start Date, Start Time, End Date, and End Time before selecting Make Credential. If you just want to make a ticket and skip writing a key, select Skip This Step.

  9. If making a key, place your blank key your programmer and select Write Key.

Close a Maintenance Ticket

  1. Select Maintenance.

  2. Select the desired ticket.

  3. Select Follow Up.

  4. Change the status to Closed or Resolved.

  5. Select Submit Follow Up and add any relevant notes.

Close Multiple Maintenance Tickets

  1. Select Maintenance.

  2. Check the boxes of the tickets you would like to close.

  3. Select Batch Close.

  4. Confirm the batch close.

Reports Menu

Report options which aren’t available to your SPED property will appear in greyed out text in the Reports menu, accessible via the Chart icon in the left side menu. Selecting some of the options for reports will take you outside of the STRATIS Management App into a separate browser window called STRATIS Reports. This is intentional and the way that STRATIS is able to present reports to SPED properties.

  • Get Credential Info: allows users to scan a smart key and retrieve its information.

  • Lockout Report (Legacy): generates a list of lockout smart keys created over a given period.

  • Door Audits: view a list of all door audits successfully retrieved and uploaded. 

  • Activity Log: view a list of user logins and tabs/sections visited.

  • Key Log: view a list of smart keys that have been created, returned or requested from each reader on a site.

  • Residents: view a list of Residents, their unit numbers, and assigned smart keys.

  • Credentials: view a list of smart keys.

  • Places: view a list of all units and unit groups on a given property site.

  • Lock Programming: view a list of locks that have been programmed at a property.

Property Setup Menu

Layout

Here you can view the layout of your property’s Residential units, and common, amenity, and Staff areas.

Selecting each individual house icon will take you into the list of units for that building or area.

Selecting your specific unit opens up a new menu where you can add and edit the names of unit groups, units, and locks. You also have the option to move unit groups and units around to different areas and types of units, to your preference.

Add a Unit Group

Properties can use this functionality to add different types of unit groups such as common areas, new buildings and amenity spaces. STRATIS recommends contacting your STRATIS Certified Partner (SCP) or STRATIS support directly for complex layouts and training of new users who have not added unit groups previously.

  1. Select Property Setup.

  2. Select Layout.

  3. Add unit groups by selecting + Add Unit Group in the lower right hand corner of your screen.

    • Unit groups can be created inside other unit groups - for example, a mailroom to be used by Residents of Building 1 exclusively.

  4. Enter the name of your new unit group in the Name field.

  5. In the drop down menu, select from the following Unit Group Types:

    1. Residential: Residential units.

    2. Staff: Staff areas.

    3. Suite: Suites.

    4. Common: Common areas.

    5. Amenities: Areas reserved for Residents who pay for access.

  6. Save.

Edit an Existing Unit Group

  1. Select Property Setup.

  2. Select Layout.

  3. Select Edit Unit Groups in the lower right corner of your screen.

  4. Select the unit group you want to edit and Continue.

  5. In this new menu you can:

    • Change the name of the unit group

    • Change the unit group type

    • Remove the unit group

    • Move the unit group to another parent unit group

      • Select Move.

      • Select the top-level unit group you would like to move your unit group into.

        • Use the green icon to view inside a unit group.

      • Select.

      • Confirm the action by selecting Move​​​​​​​​​​​​​​​​​​​​​​.

  6. Save after making any name or group changes.

Add a Unit

  1. Select Property Setup.

  2. Select Layout.

  3. Select the unit group where you want to add your new unit.

  4. Add the new unit by selecting + Add Unit in the lower right corner of your screen.

  5. In the new pop-up that appears, enter your desired Unit Name and Door Name. Once you enter your Unit Name, STRATIS will auto-populate the same name into your Door Name field. We recommend keeping these two names the same.

  6. Select the appropriate Unit Type from the drop down menu.

  7. Save.

Edit an Existing Unit

  1. Select Property Setup.

  2. Select Layout.

  3. Select the unit to be edited.

  4. In the View Unit popup that appears, select Edit. Now you can change the unit name, the unit type, or move the unit to a different unit group.

  5. Save.

Schedules

Credential Schedules

Credential schedules are set for common areas and amenities rather than Residential units, and restrict the hours that a Resident’s smart or mobile key will work on that door’s lock. They’re broken down into two types.

  • Resident Credential Schedules: This feature is used to control just Residential access to common areas and amenities.  For example, a credential schedule could be set to allow Residents' use of your property’s pool from 8am to 8pm, but block access for all other hours.

  • Staff Credential Schedules: This setting is used for Staff keys to only have access on the property during allotted times. For example, your cleaning Staff would have a set Staff credential schedule which would allow them to access the property from 8PM to 4AM, but not during any other hours of the day.

Auto-Unlock Schedules: These are used to set hours where a door is automatically unlocked. Setting hours when the front door is unlocked and when a smart or mobile key will be required for night entry is a good example of how you might use this setting.

Holiday Schedules: These schedules are set to handle changes in access for calendar holidays and the days surrounding them. They override other schedules. For example, if the leasing office is closed for July 4th, a set holiday schedule will override the auto-unlock schedule for that day and keep the office door locked.

Set a Schedule

Note that Schlage-controlled common area doors are the only door type which supports for schedules. Any other common area door type will not work.

  1. Select Property Setup.

  2. Select Schedules.

  3. Select the type of schedule you would like to set from the list of three schedule types on the right of your screen. Doing so will take you to a list of existing schedules of that type.

  4. Select your existing schedule if you’d like to edit it, or select one of the blank rows if you’d like to create a new schedule. Then, select Edit Schedule above the list of schedule types.

  5. Enter the description, days of the week, and start and end times for your schedule.

    1. If you’re setting a Holiday Schedule, you’ll also need to choose Start Mode and End Mode.

      1. Passage - Lock is not engaged, anyone can walk in

      2. Secured - Anyone with an approved credential can gain access

      3. Lockout - No one will have access unless they use a passthrough credential

  6. Select Save Schedule.

  7. You’ll now need to assign the schedule to the relevant access point(s).

  8. Select Property Setup. Then select Layout.

  9. Select the relevant building, if applicable, and the relevant common area.

  10. A pop up will now appear with the information for that common area access point. Select Edit.

  11. To the right of your relevant schedule type, select the pencil icon to edit, add, or remove a schedule.

  12. In the Schedules List, select your desired schedule, then Confirm.

  13. Save.

  14. Once the schedule is saved and updated in the Management App, you must download the newest door files and go program all the locks affected by the new schedule.

Property Settings Menu

  1. Select Property Setup.

  2. Select Settings.

From this menu, Schlage properties can access the following property settings:

  • Set relock delay

  • Set default facility code

  • Adjust time zone.

  • Set default maintenance email.

  • Turn on/off master key creation option.

  • Set Visitor access schedule limits is a feature that doesn’t apply to SPED properties, but which will still show up in your menu

How to Clear App Data on the STRATIS Tablet

Clearing app data on the tablet is great first troubleshooting step when a selected action is not working.

  1. Log in to STRATIS on the provided STRATIS Tablet.

  2. Select My Account.

  3. Clear App Data.

  4. Refresh.

  5. You will automatically be logged out.

  6. Log in to STRATIS and try your desired action again.

How to Add the Red Programming Smart Key to a Property

  1. Navigate to Reports.

  2. Place the red smart key in the iButton Programming Cable and connect to the tablet.

  3. Select Get Credential Info. The read will show an error, but the serial number will now appear in the Key Log report

  4. Copy the serial number. Then, navigate to the Credential Report.

  5. Search for Programming.

  6. Paste the new serial number under iButton Serial.

Replacing the Red Programming Smart Key on a Property

When a property replaces their old red smart key, the new red smart key won’t activate any Resident locks until the red smart key is paired with those locks. The below steps will allow you to continue operations after a few steps. 

  1. Once the above steps are complete and the new serial number has been added to the Credential Report, follow these steps to complete the transition.

  2. Every Resident Lock (BE367/FE210) will need to be factory reset (FDR) and programmed using the new red programming smart key. This will then pair the locks with the new red smart key.

  3. All existing smart keys will continue to work once the locks are programmed with the new red smart key. Once the new smart key is added into STRATIS, any new keys being made won’t work on any lock that has not been paired with the new red smart key. We recommend that you reprogram all your locks as quickly as the situation allows. 

Telling the Difference Between Grey and Blue Smart Keys in STRATIS Reports

You can tell the difference between the grey smart key and the blue smart key in STRATIS reports by looking at the name of the key.  A grey smart key will appear as res iButton 61000017B0E5E401 while a blue smart key will appear as res+ iButton 61000017B0E5E401.

How to Factory Reset a BE367/FE210

Hardware Needed:

  • STRATIS Tablet

  • Phillips head screwdriver

  1. Remove the inside cover to gain access to the deadbolt battery.

  2.  Disconnect the battery from the deadbolt.

  3. Press the Schlage button on the face of the deadbolt five times, with the battery removed.

  4. On the last press, keep the Schlage button held down and reinsert the battery.

    1. You should see the Schlage button flash red two times followed by a long green pulse.

  5. Continue to hold the Schlage button until the long green pulse is completed.

    1. The complete Schlage button red and green flashing sequence should take no more than 10 seconds to complete. Repeat steps 2 through 5 if the red and green flashing sequence is not provided as indicated. If the button on your lock is particularly worn down, you may need to press the Schlage button a few more than 5 times to achieve the full number of required pressings.

  • Mini USB

  1. While the tablet is connected to internet, navigate to Door Operations located under shortcuts on the STRATIS Homepage.

  2. Select Download Door Files.

  3. Select the units that you would like to download.

    1. The blue triangle on the left of the unit group lets you view units within the group.

    2. The blue plus sign lets you select an entire unit group or an individual unit.

  4. Select Download.

  5. Attach the 2-Prong cable to the mini usb adapter and plug it into the tablet.

    1. Select Yes if the tablet asks you to use the USB device.

  6. Under Connect to Locks, select iButton.

  7. Touch the red programming smart key to the door. When it starts flashing red and green, insert the 2-prong cable into the door.

  8. Select Set Lock Time if prompted, otherwise select Program Door.

  9. Once the lock is programmed a message will appear on the tablet saying Lock Programmed Successfully.

  10. Unplug the cable and test a key on the door. It may take a few tries for the key to initially work.

How to Set Lock Time on a BE367/FE210

Hardware Needed:

  • Tablet

  • Smart key

  • 2-prong cable

  • Mini USB

 

  1. While the tablet is connected to internet, navigate to Door Operations located under shortcuts on the STRATIS Homepage.

    1. If you are not connected to the internet the audit will be uploaded to the servers and will be viewable on the reports page as soon as the tablet reconnects.

How to Factory Reset a CO200

Hardware Needed:

  • Tablet

  • CO/CT cable

  • Mini USB cable

  • Mechanical key

  1. Press and hold the Schlage button at the top of the lock.

  2. The lock will beep twice and the Schlage button will blink green twice. When complete, release the Schlage button.

  3. Rotate the mechanical key to the left within 10 seconds of completing step 2 and hold. The Schlage button will light green.

  4. Continue holding the key until the lock beeps twice and does two green blinks of the Schlage button, then release the mechanical key.

  5. The Schlage button will light green for one second and a one-second beep will sound to confirm factory reset.

  6. Occasionally it takes several tries to achieve a successfully factory reset.

How to Commission a CO200

Hardware Needed:

  • Tablet

  • CO/CT cable

  • Mini USB cable

  • Mechanical key

  1. While the tablet is connected to internet, navigate to Door Operations located under shortcuts on the STRATIS Homepage.

  2. Select Download Door Files.

  3. Select the units that you would like to download.

    1. The blue triangle on the left of the unit group lets you view units within the group.

    2. The blue plus sign lets you select an entire unit group or an individual unit.

  4. Select Download.

  5. Attach the CO/CT cable to the mini usb adapter and plug it in to the tablet.

    1. Select Yes if the tablet asks you to use the USB device.

  6. Under Connect to Locks, select CO/CT.

  7. Plug the CO/CT cable into the bottom of the CO200.

  8. Press the Schlage button located at the top of the CO200 twice to put the lock into programming mode.

  9. The tablet should then indicate that the lock is ready to be commissioned.

  10. Using the mechanical key, rotate the key all the way to the left and hold in place.

  11. Tap the Schlage button three times, then release the key and select Commission on the tablet.

  12. The tablet will now prompt you to select a door file to use to program the lock.

How to Program a CO200

Hardware Needed:

  • Tablet

  • CO/CT cable

  • Mini USB cable

  • Mechanical key

  1. While the tablet is connected to internet, navigate to Door Operations located under shortcuts on the STRATIS Homepage.

  2. Select Download Door Files.

  3. Select the units that you would like to download.

  4. Select Download.

  5. Attach the CO/CT cable to the mini usb adapter and plug it in to the tablet.

  8. Press the Schlage button located at the top of the CO200 twice to put the lock into programming mode.

  9. Select Set Door Time if prompted, otherwise select Program Door.

  10. The tablet will pull an audit from the lock and then program the lock with updated door files. When complete you’ll see a Lock Programmed Successfully message.

  • CO/CT Cable

  1. Remove the CT5000 lid.

  2. Press and hold both the SCHLAGE and LINK buttons for approximately 3 seconds.

  3. When the POWER/TAMPER LED turns off, release the buttons.

  4. After a 15 second delay, the CT5000 POWER/TAMPER LED and the reader’s LED will blink green for one second, and the reader will beep for one second.

  5. Replace the lid.

How to Commission a CT5000

Hardware Needed:

  • Tablet

  • CO/CT Cable

  • Mini USB cable

  1. While the tablet is connected to internet, navigate to Door Operations located under shortcuts on the STRATIS Homepage.

  2. Select Download Door Files.

  3. Select the units that you would like to download.

    1. The blue triangle on the left of the unit group lets you view units within the group.

    2. The blue plus sign lets you select an entire unit group or an individual unit.

  4. Select Download.

  5. Attach the CO/CT cable to the mini usb adapter and plug it in to the tablet.

    1. Select Yes if the tablet asks you to use the USB device.

  6. Under Connect to Locks, select CO/CT.

  7. Plug the CO/CT cable into the top right of the CT5000.

  8. The tablet should then indicate the lock is ready to be commissioned.

  9. On the CT5000 hold down the Schlage button while tapping the Link button 3 times. Let go of both buttons and tap Commission on the tablet.

  10. The tablet will then prompt you to select a door file to then set the door time and program the lock.

How to Program a CT5000

  1. While the tablet is connected to internet, navigate to Door Operations located under shortcuts on the STRATIS Homepage.

  2. Select Download Door Files.

  3. Select the units that you would like to download.

  8. Select Set Door Time if prompted, otherwise select Program Door.

  7. Plug the CO/CT cable into the top right of the CT5000.

  8. Once connected to the lock, select Run Door Audit on the left side of your tablet screen. The door audit will be pulled and uploaded to the servers if you’re connected to internet.

    1. If you are not connected to the internet the audit will be uploaded to the servers and will be viewable on the reports page, as soon as the tablet reconnects.

Troubleshooting and Support

  • The Lenovo tablet used for door programming must be connected to WiFi in order to log in and download door files. The tablet will store the audit information locally until you reconnect to your property’s WiFi.

  • As SPED locks are at the end of their life with Schlage, STRATIS provides limited support for this series of lock and again urges your property to begin upgrading to newer lock systems.
